Job Description

The IR Administrator will primarily focus on providing comprehensive administrative support to the Industrial Relations (IR) Specialists. This includes coordinating disciplinary processes, preparing necessary documentation, and capturing accurate records of all IR activities.
Responsibilities
IR Administration:

  • Assist in the preparation, documentation, and filing of disciplinary hearings, grievances, and CCMA proceedings.
  • Collate accurate IR records, such as warnings, hearings, CCMA matters, ensuring they are securely uploaded into the Sage 300 People system.
  • Compile and update all IR-related reports for management review.
  • Compliance and Documentation:
  • Ensure all IR practices comply with South African labour laws (e.g., Labour Relations Act, BCEA).
  • Assist with draft letters, notifications, and documents related to employee relations, including disciplinary notices and dismissal letters.
  • Ensure the correct filing of CCMA documentation and other legal proceedings.
  • Assist with scheduling and coordination of disciplinary processes.
  • Support line managers with minor IR issues and resolutions.

Minimum Qualifications and Experience

  • Diploma or degree in Industrial Relations, Labour Law, Human Resources, or related field.

Experience:

  • 1-2 years of experience in an IR and HR, administrative role is beneficial.
  • Exposure to South African labour law.
  • Familiar with CCMA Rules and processes.

Skills required:

  • Strong administrative and organizational skills.
  • Basic understanding of South African labour laws and regulations.
  • Excellent written and verbal communication.
  • Attention to detail and ability to handle confidential information with discretion.
  • Ability to work under pressure and meet tight deadlines
  • Ability to interpret data and assist in preparing reports for management.
  • Interpersonal Skills: Ability to work with diverse teams and communicate effectively with employees at all levels.
  • Problem-solving: Ability to resolve basic IR issues efficiently and escalate when necessary.
  • Adaptability: Willingness to learn and adapt to changes in legislation and company policies.
