Job Description

Job Summary:  This role involves maintaining employee records, assisting with personal information processing, and providing administrative support for various HR initiatives to ensure smooth HR operations across the organization. The ideal candidate will be an organized individual with excellent communication skills and a strong ability to handle confidential information.

Minimum Qualifications and Experience

– Grade 12 or equivalent.
– A degree/diploma in Human Resources Management or related field (advantageous).
– At least 2 years of experience in an HR support role.
– Proficiency in Microsoft Office Suite (Word, Outlook, Excel).
– Proficient with SAGE 300 payroll software.

Knowledge, Skills, Experience and Special Requirements

– High level of attention to detail and accuracy in data entry.
– Exceptional organizational and time-management skills.
– Ability to maintain a high degree of confidentiality and professionalism.
– Strong verbal and written communication skills for handling employee queries.
– Basic knowledge of labour legislation (BCEA and LRA).
– Ability to work under pressure and meet strict payroll/HR deadlines.
– Proficient in HRIS data management and reporting.

Key Responsibilities

1. Onboarding & Recruitment Support

– Collate and sort all paperwork related to new employees on a daily and weekly basis.
– Ensure onboarding packs are complete; capture and process all new starters on Sage 300 People in line with deadlines.
– Obtain monthly approval for new appointments for the month.

2. Employee Data & File Maintenance

– Update employee personal information, including personal and banking details.
– Prepare new employee files and ensure all HR documents are filed and updated monthly.

3. Payroll & Operational Liaison

– Forward all relevant HR packs (terminations, new recruits) to Payroll for salary processing.
– Maintain constant communication with stores and operations regarding outstanding paperwork.

4. Reporting & Compliance

– Generate and distribute monthly headcount reports; address feedback from Regional Managers.
– Strictly adhere to all monthly deadlines as outlined by the Human Resources Manager.

Skills & Competencies

Communication: Excellent verbal/written English and strong people skills.
Administration: High attention to detail and accuracy in data capturing and filing.
Technical Proficiency: Skilled in MS Office (Excel) and Sage 300 People.
Ethics & Integrity: Total discretion and professionalism with confidential records.
Planning & Delivery: Strong organizational skills to meet strict monthly deadlines.
