Job Description

The Payroll Officer is a vital member of the Human Resources and Finance teams. The portfolio will ensure the accurate, timely, and compliant processing of our multi-site workforce payroll. By leveraging our core HRIS (Workday) and our specialized payroll platform (PaySpace), the payroll officer will manage the end-to-end payroll cycle while upholding Leroy Merlin’s values of transparency, efficiency, and employee satisfaction.

KEY RESPONSIBILITIES

Payroll Processing & Administration

  • End-to-End Execution: Manage the full monthly payroll cycle for permanent and temporary staff using PaySpace (DNA).
  • Data Integration: Ensure seamless data flow between Workday (HCM) and PaySpace, verifying that new hires, terminations, promotions, and salary adjustments are accurately reflected.
  • Variable Pay: Process monthly variables, including overtime, commissions, bonuses, and shift allowances, ensuring they align with retail operational hours.
  • Benefit Management: Administer employee benefits, including medical aid, retirement funds, and group life schemes, ensuring correct payroll deductions

System Management & Optimization

  • Workday Maintenance: Maintain the integrity of employee master data within Workday.
  • PaySpace Expert: Act as the primary administrator for PaySpace, managing tax year-end procedures, IRP5 generations, and legislative updates.
  • Process Improvement: Identify opportunities to automate or streamline the interface between Workday and PaySpace to reduce manual entry and errors.

Compliance & Reporting

  • Statutory Compliance: Ensure all payroll activities comply with local labor laws (BCEA, LRA), tax regulations (SARS), and industry-specific bargaining council requirements.
  • Tax & Filings: Prepare and submit monthly statutory returns, including PAYE, UIF, and SDL.
  • Reporting: Generate monthly payroll journals for the Finance department and provide ad-hoc headcount and cost-to-company reports from both Workday and PaySpace.

Employee Support

  • Inquiry Resolution: Act as the first point of contact for employees regarding pay-related queries, providing clear and empathetic explanations of payslips and tax adjustments.
  • Training: Assist in educating staff on how to use self-service features within Workday and PaySpace (e.g., accessing payslips, updating personal info).

WHAT WE ARE LOOKING FOR

Qualifications and Experience

  • Experience: 3–5 years of experience in a dedicated payroll role, preferably within a large-scale retail or multi-unit environment.
  • System Knowledge: Proficiency in PaySpace (cloud-based payroll) and experience with Workday HCM.
  • Education: A Diploma or Degree in Human Resources, Accounting, or Payroll Administration.
  • Legislative Knowledge: Strong understanding of SARS tax tables, BCEA, and COIDA.
